HUMAN RESOURCES SPECIALIST - EMPLOYMENT HUMAN RESOURCES DEPARTMENT Primary Purpose Provides assistance to the Director of Human Resources in employment functions including processing position vacancies, orientation and general employment paperwork for new employees, job descriptions, and drug screens.
Assists with leave processing, payroll certifications and general office tasks.
This position has full access to Protected Health Information (PHI).

Professional Support / Salary Grade of 109 Description of Duties and Tasks Essential Job Functions 1.
Posts all adjunct, part-time, and full-time job openings on the Online Application System; Notifies applicants when positions are filled via emails.
2.
Provides access to online application system for users / reviewers and provides assistance as requested.
3.
Assists job applicants with the Online Application System as needed; resetting passwords, navigating the system and uploading various documents.
4.
Schedules job interviews and assists hiring committees as needed.
5.
Completes two (2) professional references on all new hires prior to job offer.
6.
Assists with background checks including fingerprint screening.
7.
Makes job offers to full-time and part-time employees.
8.
Advertise job positions externally.
9.
Work with IT on upgrades to online application system.
10.
Participates in new employee and student orientation as necessary.
11.
Responsible for making employee ID Badges.
12.
Manages HR Main phone line and acts as backup for the College Switchboard.
13.
Assist in processing leave.
14.
Responsible for sending out and verifying payroll leave certifications; may enter leave into Banner as requested.
15.
Coordinates the monthly payroll certification for the Human Resources Department.
16.
Ensure office supplies are ordered and stocked as needed for the department.
17.
Handles HR departmental purchase requisitions and monitors departmental budget.
18.
Assists with coordinating Staff Convocation and Employee Milestones Recognition each year.
19.
Responsible for filing documents into the employee file.
20.
Assists the HR team with rotation to scan, index, and verify items scanned and indexed in to Xtender.
21.
Requests drug screens of new Nursing and Allied Health employees, coordinates invoice payments.
22.
Maintains the list of authorized College drivers.
23.
Performs other duties as assigned by the Director of Human Resources.
Marginal Job Functions 1.
Picks up and delivers mail as needed.
2.
Keeps the office and reception area neat and organized.
Required Knowledge, Skills and Abilities 1.
Ability to read the English language sufficiently to process all paper work required.
2.
Superior English language writing skills for completion of various written paper work including, but not limited to filing, record keeping, categorizing, drafting of correspondence, etc.
3.
Sufficient manual dexterity to be able to operate all office equipment including, but not limited to, computers, fax machine, copy machines, and telephones.
4.
Ability to receive telephone calls from the public, respond to inquiries, and communicate with co- workers and others by telephone providing excellent customer service.
5.
Ability to perform all of the above essential job functions for an eight-hour shift, with an hour lunch break, without a significant risk of injury.
6.
Ability to learn and perform all essential job functions accurately, with minimal direct supervision, within four weeks after employee begins work.
7.
Knowledge of or ability to learn relevant computer programs used (e.
g.
Microsoft Office and Banner).
Ergonomic Requirements This position is not necessarily a physically demanding job.
The functions are usually performed sitting, but may involve some amount of time standing.
Some amount of stooping, kneeling, bending, crouching, lifting, walking, carrying, and other movements may be required.
Tasks such as working at a computer keyboard, cutting, labeling, and taping involve extensive wrist and hand movements.
Qualification Standards 1.
Education - Graduation from an accredited high school or possession of an acceptable equivalency diploma.
Associate Degree preferred.
2.
Experience - Minimum of two years of Human Resources experience preferred; similar clerical and administrative tasks is required.
A comparable amount of training or experience may be substituted for the minimum qualifications.
